Before the monthly close: assemble a reviewable record set

A practical preparation sequence for Buildium records: identify the period, gather evidence, assign questions and distinguish review from approval.

A folder full of reports is not yet a monthly review. A useful review set tells the next person what period it covers, what is still unresolved and which decisions they are being asked to make.

This is a preparation method for property managers and owners working around Buildium records. It does not perform a reconciliation, close an accounting period or authorize an owner distribution. Those actions belong to the responsible people and their established procedures.

Start with the cover note, not the largest report

Choose one review period and name the properties included. Record whether the packet is a preliminary working set or a version prepared for approval. Include the time the reports were generated, because a report run after new entries are posted may differ from a file downloaded earlier. A clear cover note prevents two people from discussing different versions while believing they have the same packet.

Buildium describes several distinct financial reports on its Company Financials page. Their availability does not make them interchangeable. List the actual report names in your packet and the question each is intended to answer. Avoid a folder labeled simply “financials,” where a transaction listing and an owner statement look like competing versions of one number.

Separate preparation into three evidence lanes

  1. Scope: the period, properties, report settings and generation date.
  2. Supporting records: the documents or references needed to understand material entries and maintenance activity.
  3. Open questions: an observation, the person responsible for checking it and the next expected update.

Keep this index short. It should point to records in the organization’s approved system rather than duplicate private details into another spreadsheet. A reviewer needs a reliable route to a document, not a new collection of resident names, account numbers or entry codes.

Three evidence lanes: scope, supporting records and open questions. Preparation is distinct from reconciliation and approval.

Identify dependencies before calling the packet ready

Ask the accounting lead which reconciliations and other controls are required before review. Buildium’s first-reconciliation help text identifies opening balances and the bank statement as necessary inputs to its described process. Do not replace that work with a checked box saying “bank balance looks reasonable.” If the responsible reviewer has not confirmed completion, mark the dependency as open.

Fictional review situation

The October report set has complete maintenance notes but a bank-review question is unresolved. The packet can be organized for discussion while remaining explicitly provisional. “Prepared for discussion; bank review pending” is more useful than either hiding the gap or calling the whole month finished.

Give exceptions an owner and a next step

For each open point, distinguish an observed difference from its suspected explanation. “The two exports use different end dates” is an observation. “Someone entered it late” is a hypothesis until verified. Assign the question to the person able to inspect the source record, not automatically to whoever assembled the packet.

A blocked item should state what is missing and why it matters to this review. It should not accumulate a history of every message. Preserve that history in the proper system and keep the index focused on the current decision. The exception-log method shows how to keep a question open without turning it into an accusation.

Use readiness as a conversation, not a certificate

The monthly review checklist organizes eight preparation topics using category choices only. Its result is an agenda based on your selections, not evidence that any record is correct. Even every topic marked ready does not mean the month is closed. End the meeting by identifying who reviews, who approves and which version becomes the reference copy.

Sources and scope

Public sources checked October 21, 2026. The review method and fictional examples are original editorial guidance, not Buildium instructions or accounting, legal or tax advice. No private account was inspected.
